Beyond scheduling, several well-known methodologies offer complete systems for managing work. The Pomodoro Technique, developed by Francesco Cirillo, uses a timer to break work into 25-minute focused intervals called pomodoros separated by 5-minute short breaks; after four pomodoros you take a longer break of 15 to 30 minutes before starting the next cycle. The five steps are simple: choose a task, set the timer for 25 minutes, work until the timer rings, take a short break, and after every fourth pomodoro take a long break. The method works because it reduces the psychological barrier of starting work, makes tasks feel finite, and trains sustained attention in manageable bursts. If you finish a task before the timer rings, Cirillo recommends using the remaining time for overlearning: reviewing, improving, or polishing the work until the bell sounds.
Getting Things Done, or GTD, is David Allen's methodology for externalising every open loop into a trusted system. The workflow has five stages: capture every task, idea, and commitment into an inbox; clarify each item by asking whether it is actionable, and if so determining the next action; organise items into the appropriate lists; reflect regularly to keep the system current; and engage by executing. The two-minute rule says that if a task takes less than two minutes to complete, do it immediately rather than tracking it. The next action is the very next physical, visible step required to move a project forward, such as emailing John the draft proposal. Two companion lists keep the system honest: a Waiting For list tracks delegated work with dates so nothing falls through the cracks, and a Someday/Maybe list parks ideas you might pursue but are not committing to right now. A Weekly Review closes the loop: every inbox is checked, project lists updated, Waiting For items verified, and the system restored to a current and complete state.
A handful of named laws and effects complete the toolkit. The Zeigarnik Effect describes the tendency to remember uncompleted tasks better than completed ones, creating mental tension; this is precisely why GTD's capture step is so relieving, because writing tasks down externalises those open loops and frees cognitive resources. Parkinson's Law, "work expands to fill the time available for its completion," can be turned to advantage by setting short artificial deadlines. The Planning Fallacy, identified by Kahneman and Tversky, is the tendency to underestimate the time, costs, and risks of future actions while overestimating their benefits; reference class forecasting, estimating based on how long similar tasks actually took in the past, is the practical antidote. Hofstadter's Law adds a final twist: it always takes longer than you expect, even when you take Hofstadter's Law into account, a humorous reminder to add buffer time to every estimate.
